University at Buffalo Academic Records

An “academic transcript” is an official, permanent academic record of all credit-bearing coursework with grades (grade earned, resigned, withdrawn) that a student attempts or completes at the University at Buffalo, as well as any degree(s) conferred. The University at Buffalo Office of the Registrar/Student Academic Records and Financial Services is responsible for maintaining academic records for all students in the undergraduate and graduate divisions at UB.  Transcripts (official and student) are maintained by the UB Office of the Registrar/Student Academic Records and Financial Services.  Information is available in person at their main office, 1 Capen Hall, UB North Campus. 

BCLS Enrolled Student Files

The BCLS Undergraduate Program Advisor is assigned a private, unshared office with a locked door.  The BCLS Undergraduate Program Advisor maintains a file on each student in a UB BCLS file cabinet.  The student file contains documents sent from the Office of Admissions when the student is accepted into the University or Program, grade summaries/transcripts, letters of recommendation, notification of awards or other recognition, evaluations from hospital rotations, and other pertinent material.  Students may review their file in the department office in the presence of the advisor, departmental administrator, secretary or a faculty member.  Upon a signed release from the student at the conclusion of the program, these documents, and the information contained within, are available for discussion with or transmittal to prospective employers or educators.

BCLS Graduated Student Files

Upon BS Medical Technology degree conferral, the BCLS Undergraduate Program Advisor moves the files from the advisor office to a locked BCLS file room, for storage.  Storage space limitations do not allow permanent storage, although long-term storage for many years is possible.  Records removed are shredded by the University at Buffalo’s shredding service contract. 

FERPA: Family Education Rights and Privacy Act

The University at Buffalo is compliance with the Family Educational Rights and Privacy Act. Questions can be addressed to the Office of the Registrar.
